Roles & Responsibilities

1. Sales Support Assist the catering sales team with lead generation, prospecting potential clients, and following up on inquiries. Provide detailed information about catering services, pricing, and availability. Coordinate and schedule client appointments and site visits for the sales team.

2. Client CommunicationAct as the primary point of contact for clients, addressing inquiries, providing event details, and ensuring a positive client experience throughout the sales process. Respond promptly and professionally to emails, phone calls, and other client communications.

3. Event Coordination Collaborate with clients to understand their event needs, preferences, and budget. Assist in developing customized event proposals, menus, and contracts. Coordinate event details with internal teams, including culinary, operations, and logistics, to ensure seamless execution.

4. Order Processing and DocumentationPrepare and process catering orders with accuracy and efficiency. Maintain comprehensive documentation, including contracts, invoices, and event details. Liaise with the finance department to ensure timely billing and payment processing.

5. Menu Planning and Customization Work closely with clients to identify menu preferences and accommodate dietary restrictions. Collaborate with the culinary team to create customized menus and ensure ingredient availability. Communicate special requests or menu changes to relevant departments.

6. Event Logistics: Assist with logistical arrangements, including venue setup, equipment rentals, and transportation coordination. Work with vendors and suppliers to ensure timely delivery and setup of catering services. Address any event-related issues or last-minute changes promptly.

7. Sales Reporting and Administration: Maintain accurate sales records, including client information, leads, and prospects, using CRM tools or similar systems. Prepare regular sales reports, tracking activities, conversion rates, and revenue performance. Support the management of sales pipelines and identify growth opportunities.

8. Client Relationship Management: Build and nurture strong client relationships by providing exceptional customer service. Conduct post-event follow-ups to gather feedback and address any concerns. Identify opportunities for repeat business and client referrals.

9. Event Logistics: Assist in arranging logistics for events, such as venue setup, equipment rental, and transportation. Coordinate with vendors and suppliers to ensure timely delivery and setup of catering services. Address any event-related issues or last-minute changes that may arise.

10. Sales Reporting and Administration:Maintain accurate and up-to-date sales records, including leads, prospects, and client information, using CRM software or other tools. Prepare regular sales reports, including activity tracking, conversion rates, and revenue analysis. Assist in monitoring and managing sales pipelines.

11. Client Relationship Management: Build and maintain strong relationships with clients by providing exceptional customer service. Follow up with clients post-event to gather feedback and address any concerns or issues. Identify opportunities for repeat business or referrals

Requirements:

Must have 3 years of experience in a catering sales or event sales role, preferably as a Catering Sales Executive or in a similar capacity.

  • Must have Knowledge of the local catering industry and event planning processes.
  • Proven track record of achieving sales targets and contributing to revenue growth.
  • Experience in managing client relationships, creating event proposals, and coordinating event logistics.
  • Strong organizational and time management abilities.
  • Familiarity with catering industry trends and the ability to tailor sales strategies accordingly.
