Logistics 9 Pte Ltd. is an emerging offshore trading company with operations based in Yiwu, China, and a growing global presence. Specializing in import and export international trade, we serve clients primarily located in Latin America, including countries like Argentina, Paraguay, Mexico, and more. As an SME in a period of rapid growth, we are committed to providing efficient, seamless global trading solutions to our international partners.
Role OverviewWe are looking for an Import & Export International Trading Administrator/Executive to join our dynamic team. This position is perfect for someone who thrives in a fast-paced environment, has exceptional organizational skills, and enjoys working with a global network of clients and suppliers. Your role will focus on trade documentation, logistics coordination, and ensuring seamless communication across international borders. As part of our growing team, you will directly contribute to the development of our company and enhance our operational efficiency, helping us scale and serve our clients worldwide.
Key Responsibilities1. Trade Documentation & Coordination- Prepare, verify, and manage all international trading documentation, including invoices, sales orders, packing lists, and delivery orders (Note: No need to handle local Singapore customs documentation as we operate offshore).
- Extensive use of Microsoft Excel for creating quotations, tracking shipments, updating reports, managing data, and generating trade-related documents.
- Coordinate with our China-based team, suppliers, and international clients to ensure timely deliveries of shipments and containers.
- Maintain accurate documentation on cloud storage and ensure proper version control for all orders.
- Monitor the shipping schedule, ensuring all timelines are met and updating management accordingly.
- Verify and update inventory records after each shipment to maintain accurate stock data.
- Act as the main point of contact for international clients, suppliers, and partners, ensuring smooth coordination and timely updates.
- Use communication tools like Slack, WeChat, QQ, Email, and WhatsApp to manage inquiries from clients regarding shipment statuses, trade documentation, and order modifications.
- Clientele Focus: Our primary clientele is based in Latin America, including countries like Argentina, Paraguay, Mexico, and others. As such, fluency in Spanish is an advantage, although not mandatory. We understand that not everyone may be fluent in Spanish, and we will provide training to help you effectively use translation tools like Google Translate.
- Translation Requirement: Whenever emails or communications are received in Spanish, it is essential to translate and understand the client's requirements before forwarding them to our team. This will help minimize errors in translation and ensure smooth coordination with our China-based team and other stakeholders.
- Proficiency in Mandarin is essential for liaising with our China-based team to ensure clear and accurate communication on orders, shipments, and trade documentation. Mandarin will be crucial for efficient coordination in our day-to-day operations with suppliers and team members in China.
- Support internal and external audits by maintaining digital records of sales orders, invoices, contracts, etc.
- Assist with verifying contracts, import/export terms, and shipping schedules to ensure compliance with company policies and international regulations.
- Stay updated on industry best practices and contribute to process improvements to streamline operations and enhance client satisfaction.
- Education & Experience: Minimum 1-2 years of experience in international trade, import/export operations, or logistics administration.
- Technical Skills: Strong proficiency in Microsoft Excel (e.g., handling large files, creating invoices, managing trade documentation).
- Language Skills: Fluency in English is required. Proficiency in Mandarin is essential for effective communication with our China team. Proficiency in Spanish is advantageous for liaising with our Latin American clients. However, if you are not proficient in Spanish, we will provide training and support in using translation tools like Google Translate (Spanish is not required but is an advantage).
- Organizational Skills: Strong attention to detail and the ability to manage multiple tasks efficiently in a fast-paced environment.
- Adaptability: Proactive, detail-oriented mindset with problem-solving capabilities, able to collaborate effectively in a growing SME.
- Work-Life Balance: Monday to Friday (9 AM - 6 PM), and on Saturdays, work from home to relay information from clients to our China team for more urgent work issues (due to time differences in other countries). You will be provided with a laptop to bring home for this purpose.
