JOB DESCRIPTION

A homegrown trading company with global presence is currently looking for a Secretary to support the CEO’s daily operations.

The Secretary will be responsible for providing executive and administrative support such as managing calendar, meeting schedules, preparing reports, presentations, preparing meeting agendas, meeting minutes, and providing materials that the CEO needs for meetings and appointments.

The Secretary will be responsible for assisting the CEO in managing projects as well by tracking deliverables, coordinating projects, providing research, and monitoring timeline.

The incumbent need to act as the primary point of contact for matters involving the CEO, with responsibilities to act as gatekeeper in handling correspondence and inquiries, communicating with stakeholders and handling emails while maintaining utmost confidentiality regarding sensitive and confidential information.

Additionally, the Secretary will be handling the planning and arranging of travel itineraries such as flights, accommodation and ground transportation, and must be open to travel for about 40% in a year to assist the CEO with business trips.

Successful candidates can expect to work in an established organization with a cohesive team.

REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Management, or equivalent
  • Minimum 5 years of experience as Executive Assistant, Secretary, or Personal Assistant for CEO
  • Open to travel overseas for business trips
  • Experience with handling projects and arranging events are good to have
  • Fluent in both English and Chinese language on business level as the role require liaising with China branch
