Havas Singapore is looking for a Receptionist / Office Coordinator to join our team and support the efficient running of our office.
The Receptionist will be responsible for maintaining the professional appearance and service at our front office while also providing administrative support to ensure the smooth operation of our office.
Main Responsibilities
- Maintain a professional appearance and service at the front office, overseeing daily operations of the reception area.
- Greet and receive visitors in the office, escorting them to their meetings, and attending to walk-in inquiries.
- Ensure the reception area is safe and clean by complying with procedures, rules, and regulations.
- Handle all incoming and outgoing mail, including local and international deliveries.
- Collect and distribute other correspondences such as newspaper and magazine subscriptions.
- Replenish printer/copiers' paper and ink and clear uncollected printouts daily.
- Replenish office pantry stocks and ensure that you keep track of all the stocks.
- Order office supplies, maintain inventory records, and track office supply inventory.
- E-file all job/service sheets for easy access and reference.
- Oversee office services such as cleaners and maintenance service providers, ensuring duties are carried out efficiently.
- Support with internal and external events, including decorations for festive seasons and post-event cleanup.
- Serve as the fire safety warrant representative for the office, attending fire drill briefings as required.
- Manage meeting room availabilities.
- Perform ad-hoc duties and provide admin support as needed.
Job Requirement
- Minimum GCE O Level certification
- At least 2 years of relevant experience in handling administrative duties
- Proficient in MS Office
- Good personality with excellent customer service, communication and interpersonal skills
- Excellent time-management skills
- Ability to multi-task in a fast-paced environment
