School of Physical and Mathematical Sciences seek to hire the position of Senior Executive/Assistant Manager/ Senior Assistant Manager for Research and Graduate Studies Office.

The position will assist the school management primarily in the administration of research and graduate studies.

Key Responsibilities:

MOU and Joint/Dual Degree AgreementIn charge of the drafting of new agreements, liaising with partner universities, attending meetings with partner universities for submission to Chair, Dean, Graduate College ExCo, Provost Council and MOE.Monitoring students admitted to the joint/dual degree programmes.Compile annual reports for reporting to the University.

Examination Planning and ConductIn charge of exam planning for every semester's final exams.Take lead in conduct of decentralized exams.Arrangement of Division and School BOE.Analyse exam results of postgraduate students and identify at-risk students to report to the school management.

AdmissionProcess admission applications.Ensure that students meet the admission requirement.Liaise with Program Directors to admit students.

Course RegistrationProcess the course registration and maintenance of courses.Support the administration for the approval of new courses as set by the school.

Practicum/ Internship/ Research LabCollaborate with faculty and industry partners to offer internship for our students.Preparation of experiment listing and descriptions for students viewing and their selection.Planning of presentation schedule

Compilation of Statistical DataGenerate data as requested by the School/College/University/MOE.Provide analysis and projections for School/College/University/MOE.Any other administrative tasks given by the University/School.

Precision Scientific Instrumentation Lab ManagementSchedule student experiments and viva voceSchedule and manage teaching assistants' lab dutiesProvide instructions and guidance to students during lab sessions, troubleshoot faulty experimental setupCollect student reports and consolidate scoresHandle procurement of lab setups and consumables, maintain proper finance and asset documentations

RecruitmentAssist in the hiring and onboarding of part-time lecturers

FinanceCollection of tuition fees from studentsManage the time approval process for part-time lecturers to ensure the payment to them are accurateManage and monitor MSc self-financing programme budget

Requirements:Bachelors or higher degree, in any disciplineAt least 2 years of relevant work experience in tertiary educationIT knowledge, proficient in MS office applicationDemonstrated ability to understand and to work in an academic environmentDemonstrated ability in analytical, planning and organizational abilitiesMeticulousAble to work independently and as a team
