Role Overview:

For this role, we are seeking a highly organised, motivated and dedicated Virtual Assistant to join our client’s team as a Customer & Sales Support Virtual Assistant. We are looking for someone who is able to not only support customers but also work on the client’s branding/brand messaging across his company’s social media channels, and is able to document his/her progress of work (CRM Updates).

Work hours:
Day time shift (Au Client) – Monday to Friday, shift starts at 7AM at the earliest

The role requires skills/experience in:

  • Able to work with a diverse range of people from around the world (e.g., Australia, Singapore, US, Middle East)
  • Strong interpersonal and communication skills (written and verbal)
  • Able to become an integral part of the team to ensure tasks are completed in a timely manner and accurately, while communicating any changes with customers
  • Familiarity with current technologies and cloud-based platforms (e.g., scheduling platforms, analytics, and VPN)
  • Honest and reliable work ethic
  • Excellent time management and organisational skills
  • Able to work in your preferred time zone and work style, meet deadlines, and handle last-minute requests
  • High-speed internet connection and back-up internet plan

VA Task Overview

  • Customer Enquiries (Tickets)
  • Answer customer service emails and chat support
  • Processing Orders
  • Making client calls whenever necessary for inquiries and confirmations

Administration

  • Database Management
  • Document storage and organisation
  • Email Management (e.g., filter emails and manage spam)
  • Calendar Management (e.g., set appointments and manage calendar)
  • Creating or preparing update reports (spreadsheets and PowerPoints)
  • Project management
  • Website Content Update (with instructions)

Social Media

  • Pinterest, YouTube, Instagram, and Facebook
  • Source and curate content for Social Media (Canva)
  • Create, edit, and upload Stories
  • Schedule social media content using a scheduler
  • Research hashtags and social media trends
  • Social Media Groups management
  • Moderate comments and reviews

Research

  • Industry Research
  • Competitor Research
  • Gather data for reports
  • FAQs research

Tools:

  • The client is willing to train the successful candidate on his current tools and apps for work. However, when submitting your application for this role, please make sure to indicate a comprehensive list of apps and tools (or websites) that you used in fulfilling each category of VA tasks and skills stated for the role.
  • Indicate if you are well-versed with using ChatGPT.

Minimum Technical Requirements:

Internet Speed: Download: 20MBPS Upload: 5MBPS (will be checked during zoom interview)

Computer Specs: i3/Ryzen3 or equivalent, with at least 8GB RAM (will be checked during zoom interview)

Back up internet (a MUST): at least Mobile Data (Personal Hotspot)
