The Asian School of the Environment (ASE) at Nanyang Technological University is an interdisciplinary school that aims to be a world leader in environmental research focused on Asian environmental challenges. The ASE integrates earth and environmental life science, ecology, engineering and technology, human ecology, humanities, and the social sciences to address key issues of the environment and sustainability.
We are hiring a Senior Executive under ASE Academic Office. This position reports directly to Senior Assistant Manager. The incumbent is responsible to provide comprehensive administrative This role involves handling day-to-day operations including but not limited to admissions, exams, student affairs, collaborating with stakeholders like faculty, students, and parents, executing logistical planning for school events as well as student management.
Academic matters:
Provide support in overseeing and managing various aspects of undergraduate course curriculum, including eLearning Week, course registration, curriculum timetable, examination, and invigilation matters.Assist in coordinating the timetable for ICC courses and scheduling interview sessions for admissions exercises, while maintaining communication with the Admissions office on admissions-related affairs.Manage logistic planning/ arrangement for all outreach and school events including but not limited to NTU Open House, CoS Day, Orientation, Annual Convocation, ASE club and ASE Alumni Association’s activities.Assist in management of student applications for Professional Internships and Professional Attachment, as well as handling student exchange requests (Inbound and Outbound).Support in managing leave of absence requests and the verification of curriculum proposals for submission,Assist in exam-related tasks such as grade sheet preparation, coordination of Board of Examiners meetings, and liaising with the Exam department for grade submissions.Assist with the printing of CA papers.Manage faculty requests for student assistants and oversee payments for students under the Work Study Scheme system.Assist in processing/ verifying reimbursement claims as well as scholarship related claims.Requirements
Bachelor's degree in any field or Diploma with a minimum of 4 years of relevant experiences, preferably in academic administration and ideally in team settings.Proficient in Microsoft Office, Google Suite, Microsoft Teams and online tools.Skilled in leveraging Gen AI to optimize administrative processes with demonstrated experience would be advantageous.Strong ability to multi-task and prioritize with competing deadlines.Excellent written and verbal communication for interactions with diverse stakeholders.Proactive problem solver and adaptable to dynamic environments.Demonstrates integrity and ability to handle confidential info discreetly.Experience in organizing and coordinating events, workshops, or seminars is advantageous.Familiarity with data management and related software is advantageous.Ability to work collaboratively with colleagues in a team-oriented environment.Hiring Institution: NTU-
