**Job Description**:

- Questex Asia runs live, in-person and virtual events across APAC. The Event Operations Executive will be reporting to Event Operations Manager and VP, Asia.The Event Operations & Admin Executive will be tasked with compiling necessary data, liaison with third parties, such as attendees, speakers, suppliers and vendors, attend assigned shows/conferences on an as needed basis.This position is responsible for aspects of on-site coordination, production and management of Speaker’s Agreements and fulfillment sheets, coordination of registration and oversees smooth running of daily event operations.**Principle Duties and Responsibilities**:

- Creates and maintains the speaker and sponsor fulfillment sheet for the event
- Ensures all contractually obligated items for the speakers and sponsors are properly and completely fulfilled
- Maintains communications with speakers and sponsors regarding show orders and on-site logistics and to ensure the customers’ needs are being met.
- Coordinates with Sales Dept. and Sponsorship sales individuals to fulfill contractual agreements.
- Coordinates all conference operations functions such as speaker notifications, speaker kits, web and print updates of speaker bios and session descriptions, session room sets and AV needs
- Liaise with speaking groups to ensure that materials are submitted on time and that all speaker requirements are met for events
- Updates websites with conference content, speakers’ bios and photos, exhibitor services information and any other show related info
- Works closely with the Virtual events Ops team to ensure all hybrid event fulfillment needs are being met.
- Handle internal and external logístical program correspondence
- Manage speaker travel and accommodation requirements
- Prepare and ship onsite materials to ensure seamless execution of events
- Manage on-site conference details including registration support, exhibit logistics support, liaising with hotel and AV when appropriate
- Provide weekly program status reports and updates
- Travel, domestically, and work long hours as needed to attend events.
- Performs additional administrative duties such as employee leaves, expense claims, as assigned.

**Job Requirements**:

- Bachelor’s degree in business administration, administrative management, marketing or a related field, with at least 2-4 year’s work experience in business or office setting the hospitality industry, or in a position with a focus on customer service.**Other Key Success Attributes**:

- Strong interpersonal skills and ability to manage stress well while on show site.
- Strong customer service orientation. Must be very organized and detail oriented.
- Must have practical working knowledge of computers and be able to use Microsoft Office package.
- Prior event or conference planning experience a plus. Previous experience in hotel and/or banquet operations or sales also preferred.
- Accurate data entry skills, problem solving ability and the ability to demonstrate initiative and work independently
- Ability to elicit cooperation from a wide variety of sources, including management, clients, other departments and vendors.
- Must have the ability to handle multiple deadlines, phone calls and projects
