As part of our support services team, we are seeking a reliable and proactive **Events & Operations Executive**to oversee our key events and manage the organisation’s facilities and operations. The role offers a unique opportunity to work at the intersection of logistics, event management, and operational coordination in a purpose-driven environment.
**Position Overview**
This role is ideal for someone who thrives in both dynamic event settings and structured administrative operations.
**Key Responsibilities**
**1. Event Management**
Plan, coordinate, and execute SSA’s key events, including but not limited to:
- Annual General meeting
- Award ceremonies
- Scout Anniversary
- National and Special Events
- Liaise with internal departments, external vendors, and key stakeholders to ensure smooth event execution.
- Source logistics and manage event vendors including catering, logistics, audio-visual, and printing, where necessary,
- Develop event timelines, budgets, and checklists.
- Coordinate venue bookings, event set-ups, and on-site logistics.
- Prepare post-event reports and evaluations.
- Support event-related communications, registration processes, and collateral preparation.
**2. Facilities & Operational Support**
- Manage booking and usage schedules for SSA facilities, including hall, meeting rooms, session room, conference room etc.
- Coordinate access card issuance and return for onboarding and offboarding staff.
- Maintain inventory and functionality of IT and AV equipment; provide basic troubleshooting or coordinate technical support.
- Monitor the condition of the building, coordinating maintenance, repairs, and housekeeping as necessary.
- Work with external contractors on facility-related services, including pest control, aircon servicing, and office upkeep.
- Assist in preparing procurement documents and operational SOPs where needed.
- Ensure adherence to safety and security procedures across the premises.

- Possess a hands-on, problem-solving mindset and readiness to take initiative
**Skills & Requirements**
- Diploma or Degree in Events Management, Business Administration, Facilities Management, or a related field
- Prior experience in event planning or facilities operations preferred but not critical
- Excellent interpersonal and good management skills
- Strong organisational and time management abilities
- Proficient in Microsoft Office and Google Workspace tools
- Familiarity with IT equipment and AV systems is an advantage
