Events Operations Executive

We are looking for an events operations executive who will help to coordinate and execute events while ensuring that all logistics requirements are carried out according to the event plans. You will be heavily involved in the hands-on execution of on-site setup to help clients create a picture perfect and memorable event design. You will need to manage the day to day operations of our ecommerce shop, mainly balloons fulfillment. The purpose of this position is to help close up the execution and fulfillment gap, for the team to work more smoothly. Most importantly, we need your help to grow Hello Joi and gain recognition by building an iconic brand together through countless well executed events

**Your responsibilities**:
- Plan, delegate and execute **pre-event preparation activities. **Prioritize based on projects’ timelines to ensure deliverables are prepared in advance and are met in high standard. Pre-event preparation activities rely heavily on hands-on work (i.e. assembling balloon garland and flowers, creating and styling photo worthy corners, etc). Involves supporting events planning and design team. Meticulous preparation is essential to ensure smooth operation on event day.
- **Event day coordination and execution **. Primary responsibilities include preparing venues by setting up the intended setup created for the event and coordinating with various drivers for support of logístical needs. Your role is important in upholding design standards and contributing to the success of events.
- Manage day-to-day full cycle of **ecommerce order fulfillment **(i.e. order processing, printing of invoices, packing of orders, arranging of deliveries). Fulfillment is the process of preparing and delivering customers’ orders. This management helps to ensure smooth and efficient order fulfillment to boost brand’s reputation and customer retention.
- **Balloons/Flowers Fulfillment **(i.e inflating balloons, styling balloons/flowers, packing products into carriers, preparing balloon weights, digital designs of customized artwork and other balloons/flowers preparation tasks). A big part of the day-to-day operation will involve handling and styling of balloons and flowers. The goal is to accurately deliver the products to the customers on time.
- **Stocks/inventory management **(i.e. acquiring, storing, organizing and tracking goods). Maintain and ensure stocks are properly replenished for ecommerce order fulfillment and events activities.
- **Warehouse office housekeeping **post event and post order fulfillment to ensure a clean and organized working space.
- Supporting **administrative duties**:
- Opportunity to be involved in sales, event planning and conceptualisation of designs, as well as adhoc work-related design assignments (i.e. ecommerce product listings, curating images, GIFs, videos, animations for social media content).
**Who are we looking for to join our team?**
- No relevant event experience needed. Important to possess a strong interest in events operations and be passionate about balloon & flower creation. A self starter who is proactive to learn and pick up new skills in a fast-paced and dynamic start-up environment.
- Able to handle a hands-on working environment (i.e. involves physical work, conducting outdoor events under the sun, event set-up and tear-down, maintaining equipment, etc).
- Class 3 driver’s license (manual) as you will be required to drive the company's van.
- Enjoy working independently with mínimal supervision once you have learnt the ropes. Being dependable and flexible with a positive attitude is important for the dynamics of the team.
- Punctual, responsible, and a problem-solver to ensure smooth execution of events of different scales.
- Proficient in using software such as Google Document, Google Slides and Google Sheets as it is required for order fulfillment.
- It is a plus point to be proficient in softwares such as Adobe Photoshop and Adobe Illustrator.
- Proficient in written English would be a plus point.
