Job Responsibilities
The Senior Document Control Manager is a leader responsible for the overall project Document Control, management of the Electronic Document Management System (EDMS), and for directing a team of internal Document Control Managers. Additionally, the Senior Document Control Manager will be responsible for management of the Design Team members’ and Contractors’ relevant document control representatives to ensure compliance with MBS policies and procedures for submissions, document management, process workflows, and similar.
Essential Duties:
Pre-Design
- Lead the effort of updating and preparing the relevant sections of the overall Project Management Manual to be used as the basis for all internal team processes and procedures throughout the project.
- Ensure best practices already developed by the current Development & Project Management Team are implemented into new project, with any project specific additions clearly communicated to relevant parties
- Establish and implement project controls pertaining to Document Control permissions, access, and distributions/distribution groups.
- Establish and implement project controls pertaining to EDMS attributes, project areas, naming conventions, and similar.
- Provide oversight to team of BIM managers to ensure BIM protocols are aligned with the above referenced EDMS interfaces
Consultant / Contractor Procurement and Change Management
- Assist MBS Procurement with the compilation of documentation, relevant exhibits, and similar for issuance of requests for proposals and change events.
- Liaise with MBS Procurement, as needed, for distribution and retention of formal communications related to change management and commercial correspondence.
- Serve as primary interface for Design Team members’ and Contractors’ relevant Document Control representatives for resolving technical questions or concerns related to relevant sections of the above referenced Project Management Manual and the EDMS.
Design and Documentation
- Oversee team of internal Document Control Managers to ensure documentation received form consultants is compliant with MBS Document Control policies and procedures and distributed to the relevant internal team members in a timely manner.
- Lead the effort of initiating and managing workflows for internal design documentation reviews and approvals, as well as comment issuance to established distribution groups.
- Lead the effort of maintaining readily accessible current sets of design documentation for all project areas and design packages.
- Liaise with MBS scheduling to ensure that all Design Schedule updates are formally communicated to established distribution groups.
- Develop and issue appropriate reporting of received documentation, review workflows, and outgoing issuances in relation to the Design Schedule.
- Provide Support to the internal Design Team and Delivery Team in assembling documentation as required for critical item review, executive presentation, and similar.
- Provide oversight to team of BIM managers to ensure design models issued by consultants are appropriately referenced in the EDMS and available to be packaged and issued via the Document Control as needed.
Construction / Construction Administration
- Liaise with MBS Delivery Team, Commercial Team, and Procurement to assist in assembling and issuing documentation associated with competitive construction tenders / bid packages.
- Establish and oversee compliance with Document Control procedures relating to Construction Administration documentation and workflows, such as Requests for Information, Submittal Schedules, Submittals, Substitution Requests, Inspection & Test Point reviews, and similar.
- Develop project reporting relating to above referenced Construction Administration processes. Serve as primary interface for all relevant MBS parties for distribution of status reporting as compared to the overall Project Schedule.
- Implement and manage digital platform for the Quality Assurance Plan to management the identification, recording and clearance of defects during the construction process.
- Liaise with MBS Delivery Team and Commercial Team to assist in internal commercial project reporting development, issuance, and filing.
- Liaise with Design Team, Delivery Team, and MBS Facilities Team to ensure that all project handover information, including BIM models and Digital Twin, is properly packaged and distributed to the appropriate parties.
Job Requirements
- Minimum 8 year’s working experience in Document Control and Project Management.
- Tertiary Degree in Architectural Design / Construction / Building / Project Management / Engineering, or related field preferred.
- Extensive experience using _Oracle Aconex_ project management software
- Extensive experience working on projects developed and delivered using Building Information Modelling
