**Responsibilities**:
Manage department’s budget and expenses- Responsible for preparing annual budget and reports, including analysing variances and propose budget recommendation for management support.- Work with other departments to ensure that financial data is accurate and up-to-date and that budgets are aligned with organizational goals.-
- Manage the submission of claims via SAP Concur to ensure timely payouts to vendors.

Manage license renewal for the learning system- Work with Application owners for license renewal to ensure all licenses are renewed before expiry and follow up on procurement process via Ariba.- Maintain accurate and proper documentation related to software licences and renewal in accordance to the School’s guidelines. Engage with stakeholders on proper evaluation for software licence renewals, including evaluate current software usage and assess whether licence renewals are justified based on usage, cost and other factors.

Manage departmental fixed and digital assets and inventory records- Responsible for updating and tracking inventory and assets on a regular basis to ensure they are properly accounted for.- Maintain a record of the asset location, including tagging and tracking the assets to monitor movement.- Responsible for conducting periodic audits of the department’s hardware and software digital assets and inventory- Perform digital filing in shared drives to maintain accuracy of the records.- Maintain and update Digital Learning knowledge-based system that documents internal work processes and procedures.

IT Audit documentation- Work with IT and stakeholders to ensure all relevant documentation is well maintained and up-to-date in preparation for audit.- Review existing documentation and identify any gaps or areas that need improvement.- Work with IT and stakeholders to develop new documentation, update existing documentation or coordinate with other teams to ensure that all necessary information is available for the audit.

Other administrative tasks- Provide support to the team on general office administration.- Responsible for managing and improvement of internal administration process, identify gaps and highlight to department.- Ensure all administrative functions are running smoothly and efficiently.

**Requirements**:
- At least a degree in Business/Administration/Management or equivalent- At least a minimum of 3 years of relevant working experience is required- Proficiency in Microsoft productive tools and Finance systems- Good knowledge of contract and financial management- Good interpersonal and communication skills- Systematic and organised- Strong analytical and problem-solving skills

This is a 3 years contract appointment.
