Singapore Office Secretaries Full time

Reports to: Head of HR, Asia

Main purpose of the role: The HR Advisor is part of and assists the APAC HR team to provide proactive life-cycle HR service to the firm (operational and advisory/business partnering) whilst driving best practice to ensure compliance with firm policies/procedures, employment legislation and Law Society regulations to enable the region to deliver effective and efficient business performance.

The HR Advisor is a key contact and business partner for all partners, business support managers and employees across Asia (Singapore, Hong Kong, PRC, Japan) in relation to HR matters.

**Main duties and responsibilities**:
**HR Advisory**
- As part of the wider APAC HR team act as a contact point for requests for HR related advice from partners, business support managers and employees.
- Provide timely best practice advice (within capabilities) or escalate as necessary

**Talent Acquisition / Onboarding / Departure (Fee Earners and Business Support)**
- Prepare and issue appropriate contractual documentation in relation to appointments, terminations, variations of employment, arrange for preemployment vetting checks and ensure all administrative components of a new hire has been fulfilled.
- Deliver induction training for new employees and trainees and schedule regular catch-up meetings to ensure personal and professional development goals are being met.
- Take part in updating employee handbooks/policies/procedures in line with changes as advised by the Head of HR, Asia.
- Conduct departure interviews to gather data to inform future retention strategies and continuous improvement initiatives.

**HRIS**
- Assist APAC HR with HRIS updates of changes of status and generate accurate reports in a timely manner. (Firm will be going into pre-implementation phase of our new HRIS shortly so data requests will increase significantly).

**Secondment Management**
- Liaising with colleagues to manage the documentation and administration of client and international secondments (including trainee program secondments). Liaising with counterparts at client organisations as necessary to assist with their often bespoke set-up processes.
- Updating systems and relevant business support stakeholders (e.g., Finance) in a timely way

**Performance Management**
- Act as contact point and a source of advice, information and practical support to partners, managers and employees with sensitive and confidential issues in accordance with HR policies and procedures.
- Support performance appraisal process using the Online Performance Management system.
- Support the Head of HR, Asia in the delivery of HR solutions to support workforce change where appropriate including delivery of key projects.

**Graduate Program**
- Involvement in the firm's small graduate recruitment program. Assist with recruitment, screening and testing processes. Monitor development of interns and trainee solicitors in collaboration with Graduate Recruitment partners (may include for example, attendance at Law Fairs and building relationships with university career advisors and student societies).
- Assist with seat rotations process as required.

**Compensation and Benefits**
- Assist annual salary review process - assistance with providing reports about the workforce, providing appropriate analysis and benchmarking for salary compensation and benefits.
- Instructing payroll for new hires, changes and departures. (The role does not include executing payroll which is done via third party vendors).
- Assistance with firm benefits e.g., insurances as necessary.
- Ensure all aspects of compensation & benefits are in accordance with statutory requirements in relevant jurisdiction(s) including pension, leave, insurance, etc.

**Law Societies / Government bodies compliance**
- Assist lawyer registrations (e.g., RFL) and PC renewals as necessary.
- Ensure lawyer registrations are in accordance with statutory requirements in relevant jurisdiction(s).

**Education / Qualifications**:

- Degree qualified in Human Resources (preferred) or business management.

**Experience**:

- Minimum of 5 years' experience working in a generalist operational and HR advisory capacity in a legal environment.
- Strong technical HR knowledge.
- Strong affinity and skills working with HRIS.
- Working proficiency with employment legislation and regulations in Singapore (and previous working exposure HK and PRC desirable).
- Working knowledge of Singapore Minlaw/LSRA/MOM regulations (incl. employment passes).

**General Skills**:

- Attention to detail and responsiveness.
- Ability to work under pressure with a variety of stakeholders.
- Experience providing effective advice on sensitive people management issues together with judgement to escalate as necessary.
- Confidence in managing stakeholders without compromising sensitivity or confidential information.
- Highly effective teamwork with an effective collaboration skills.
