We are seeking a Programme & Operations Support Executive to join a public sector healthcare project on a 6-month contract. This role focuses on supporting large-scale distribution of fitness wearables, working closely with vendors, internal teams, and stakeholders to ensure smooth operations, accurate reporting, and a positive participant experience.

Key Responsibilities

Programme & Operational Support (80%)

  • Liaise with external vendors on tracker distribution operations and logistical needs, including stock monitoring and escalated customer care issues
  • Perform reconciliation of tracker issuance data, investigate discrepancies, and maintain accurate records
  • Prepare and update monitoring statistics (e.g., issuance numbers, appointment data, usage rates) on a weekly and monthly basis
  • Ensure timely submission of documentation and reports by vendors
  • Track vendor performance indicators and follow up on non-compliance issues
  • Support contract management activities, including billing and budget monitoring
  • Collaborate with stakeholders to review and enhance SOPs and FAQs to improve efficiency and customer journey
  • Provide coordination and secretariat support for biweekly meetings with internal and external stakeholders
  • Conduct on-site audits or checks on vendor operations and processes when required

General Administrative Support (20%)

  • Perform general administrative tasks such as data entry, record keeping, and customer care support
  • Provide ad-hoc assistance for on-site programme operations, including large-scale tracker distribution events
Requirements
  • Strong organisational and coordination skills, with keen attention to detail
  • Good written and verbal communication abilities
  • Ability to manage multiple stakeholders and vendors effectively
  • Comfortable with data reconciliation, reporting, and operational monitoring
  • Prior administrative or programme support experience in large-scale projects is advantageous
