Job Summary:
Provide administrative and customer support to Sales Department, by coordinating sales-related activities, maintaining client relationships, and helping organize events and group bookings. They serve as a liaison between the sales team, clients, and other hotel departments to ensure smooth communication and efficient operations.
Job Responsibilities:
- Assist salespersons with preparing contracts and Group Event documentation.
- Responsible in monitoring and updating the various systems related to the Room Sales Department including SFA Web and Opera Sales & Catering. To ensure accurate updates including actualization.
- Serve as the main point of contact for clients throughout the event planning process.
- Coordinate with hotel departments (e.g., front desk, housekeeping, catering, F&B) to ensure seamless event or group execution.
- Ensures that the filing and archival of contracts, processing of reservations and new business opportunities are accurate and efficient.
- Handle last-minute changes and troubleshoot any issues during Group Events.
- Maintain client databases, generate sales reports, and any other ad-hoc reports as required.
- Attend site inspection and entertainment when required.
- Attend pre-conference meetings and oversee Group Event execution.
- Be responsive to customer enquiries via email, calls, and on issued company mobile phone.
- Perform other functions that may be required from time to time as required by the Management.
