We are seeking a meticulous, proactive, and reliable Secretary – Backend Operations to support the day to day coordination and administrative backbone of our growing interior finishing business. This role is central to ensuring every project, payment, follow-up, and customer touchpoint is timely, accurate, and delightful.

You will be working closely with our sales, operations, and studio team to manage internal workflows, schedule updates, payment tracking, customer follow-ups, and documentation.

  • Experienced in administrative or customer support roles.
  • Able to multitask across platforms (WhatsApp, CRM, Email).

Key Responsibilities
  • Daily Client Reminders: Send out daily WhatsApp reminders for meetings, installations, and studio sessions.
  • Installation Coordination: Secure and confirm installation dates with clients; ensure all details are accurate and logged.
  • Payment Tracking: Monitor first and second payments, send timely reminders, and update CRM records.
  • Quotation Follow-Up: Reactivate leads through follow-up messages; maintain and update reactivation lists.
  • Order & Invoice Management: Prepare, send, and file invoices promptly in the CRM system.
  • Client Support & Documentation: Maintain updated records, educate customers on services, and support backend sales processes.
