Executive Secretary

Responsibilities:
- Provide full spectrum of secretarial support to Senior Management
- Manage calendars, schedules, conference calls, meetings and appointments
- Coordinate complex travel arrangements, including booking of flight tickets, hotel accommodation and visa processing for Senior Management and the team
- Support the preparation and submission of business trip expenses, mobile phone bills, entertainment claims for Senior Management and the team
- Prepare, organize and upload documents and reports for Board of Directors, Audit Committee and management meetings
- Maintain an organized filing system for documents and reports and ensure efficient retrieval when needed
- Coordinate the collection of documents requiring the signatures of Senior Management and ensure prompt distribution to relevant business units and departments
- Manage office supplies and equipment to ensure smooth daily operations.
- Provide day-to-day administrative and operational support to the team as required
- Provide secretarial support to the GCEO during the primary secretary's absence
Requirements:
- Diploma/Certificate in Secretary or related field with at least 5 years' of relevant working experience
- Proficient in Microsoft Office applications, such as Word, Excel and Power-point
- Good oral and written communication skills
- Discretion and trustworthiness in handling sensitive and confidential information
- Resourceful, self-driven and high degree of professional integrity
- Ability to work independently with strong organisational and time management skills
