Responsibilities:

  • Handle customer inquiries and complaints via phone, email, or fax, ensuring prompt follow-up and resolution.
  • Receive requests and prepare quotations or service charges for customers; manage Job Order Processing (JOP).
  • Schedule and prioritize customer service requests to ensure timely delivery.
  • Coordinate and communicate with field service engineers, subcontractors, customers, and relevant authorities to ensure services are completed within agreed timelines and meet customer expectations.
  • Maintain and track service histories; follow up with customers to confirm satisfaction.
  • Keep accurate service documentation, including reports, customer feedback, and completion records, ensuring proper filing and system updates.
  • Provide regular updates and reports on customer accounts to the Service Manager, Assistant Service Manager, or Lead Coordinator.
  • Monitor recurring issues and complaints, recommending improvements to enhance service efficiency and quality.
  • Identify potential opportunities for additional or follow-up services, equipment upgrades, and regular maintenance based on customer needs.
  • Ensure high levels of customer satisfaction through proactive communication and effective service planning.
  • Support customer audits and inspections by preparing and providing required documentation.
  • Prepare service request forms and purchase orders for vendors and subcontractors.
  • Generate shipping documents for item deliveries.
  • Handle travel arrangements, including flight bookings and reservations.
  • Prepare and issue materials or parts for subcontractors, technicians, or engineers.
  • Raise purchase requisitions for accessories, installation materials, or parts needed for service or project work.
  • Maintain organized work schedules, filing systems, and documentation records.
  • Coordinate and manage project and service schedules for all service personnel.
  • Perform any other ad hoc duties as assigned by the Manager.

Requirements:

  • Diploma in Business Administration or any related field.
  • Minimum 2 years in service support or sales support experience.
  • Experience in NetSuite is an added advantage.
