As our Receptionist cum Office Administrator, you will embody the face and brand image of our company, ensuring quality services that translate into high levels of customer satisfaction for both our internal staff and external clients.

Collaborating closely with the HR Manager, you will oversee the general office and facilities, as well as internal services at the corporate level and external liaison activities with our vendors and suppliers.

[Your Role & Responsibilities]

  • Serve as the primary contact for general office administrative tasks
  • Manage and coordinate meetings, conferences, and appointments
  • Deliver exceptional reception and visitor services, including greeting visitors, directing them to meeting rooms, providing refreshments, and handling phone inquiries
  • Oversee office supplies (pantry, conference room, and team-specific needs), liaising with the Cleaner for maintenance and ensuring overall office cleanliness and tidiness
  • Provide administrative support across departments, including tasks like collecting, sorting, and distributing incoming mail, as well as scanning documents when required
  • Act as the liaison with the landlord for all matters concerning the office building and premises, such as maintenance, fire drills, contractor permissions, and providing support to any office-related matters
  • Execute other office duties and projects as assigned, including the digitisation of office records into our Shared Drive promptly
  • Maintain punctuality in reporting to work and returning from lunch breaks, adhering to the fixed 1-hour lunch schedule
  • Willing to come back to the office to work at an impromptu notice (subject to availability)

[What We Are Looking For]

[Skills & Requirements]

  • Minimum 2 years of experience as a Receptionist, office administrator, or in a relevant role
  • Demonstrate a service-oriented attitude and a growth mindset, consistently delivering high-quality work
  • Possess good communication and interpersonal skills
  • Ability to work independently, multitask, and effectively prioritise tasks
  • Proficient in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Conversational in Mandarin, to liaise with Chinese-speaking visitors, clients, and vendors
  • Knowledge of Viewpoint software is a plus
