Job Description

We're looking for a highly organized, proactive, and detail-oriented Administrative & Personal Assistant to provide seamless support in both professional and personal capacities.

The ideal candidate will be a trusted partner, adept at multitasking with discretion and efficiency. You'll play a key role in managing schedules, coordinating tasks, and ensuring smooth day-to-day operations—all with a sharp eye for detail and a problem-solving mindset.

Key Responsibilities:

Office Administration:

  • Manage front office operations, including greeting visitors, handling mail, and coordinating deliveries.
  • Oversee office supplies inventory, procurement, and vendor relations.
  • Maintain filing systems (digital and physical) and ensure document organization.
  • Assist with meeting coordination, including room bookings, agenda preparation, and minute-taking.
  • Support HR with onboarding logistics (e.g., workstation setup, access cards).
  • Handle basic IT troubleshooting or liaise with tech support as needed.

Executive & Personal Support:

  • Act as the primary point of contact for the CEO's schedule, coordinating meetings, calls, and stakeholder communications.
  • Arrange domestic/international travel, including flights, hotels, visas, and detailed itineraries tailored to preferences.
  • Handle personal errands, family/household tasks, and liaise with vendors (e.g., repairs, reservations)
  • Manage complex calendars, schedule appointments, and arrange travel (business & personal).
  • Act as a gatekeeper for communications (email/phone), prioritizing urgency and confidentiality.
  • Run errands, plan events, and handle ad-hoc personal tasks as required.

  • Be available to accompany the CEO on trips (domestic/international) when required.

Qualifications and Requirements

  • 3+ years of experience in office administration and executive/personal support.
  • Ability to handle multiple tasks simultaneously and work under pressure.
  • Discreet and professional – handles sensitive information with integrity.
  • Willingness to work flexible hours and travel extensively as needed.
