Key Responsibilities

Gift Stewardship

  • Review and edit thank-you letters from student recipients.
  • Prepare and send regular gift reports to donors.
  • Maintain and update records on gift pledges, naming opportunities, and fund utilisation.
  • Respond to donor-related queries professionally and promptly.

Event & Donor Engagement

  • Plan and manage donor-related events such as agreement signings, donor-student dinners, plaque unveilings, and facility tours.
  • Handle invitations, RSVPs, and on-site logistics.
  • Liaise with students and internal departments for event coordination.
  • Oversee event materials (e.g., seating plans, name tags, gifts, photos).
  • Coordinate post-event follow-up including framed photo delivery and thank-you letters.

Communications

  • Draft donor messages, including personalised thank-you and welcome letters.

Administration

  • Raise purchase orders, track procurement, and process invoices.
  • Schedule meetings and manage logistics (room bookings, courier services, donor wall updates).
  • Record and prepare meeting minutes.
  • Support ad-hoc projects as required.

Job Requirements

Qualifications:

  • Diploma or University degree from a recognised institution.

Experience:

  • Minimum 2 years of relevant experience in administration, events, donor engagement, or customer service.

Skills & Competencies:

  • Excellent organisational and time-management skills.
  • Strong communication skills, both written and verbal.
  • High attention to detail and accuracy, especially in record-keeping.
  • Discreet and professional in handling confidential information.
  • Team player with a proactive and solution-oriented mindset.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); basic Adobe Acrobat skills preferred.
