Responsibilities :**
- Secretarial & Executive Support
- Provide dedicated secretarial support to an assigned manager
- Coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-ups on action items.
- Screen and handle calls, emails, and correspondence on behalf of the manager with professionalism and discretion.
- Prepare, edit, and format business documents such as reports, presentations, and memos.
- Maintain and update filing systems, databases, and confidential records.
- Assist in managing the private accounts and property-related matters of the owner, as required.
- Office Administration
- Oversee daily office operations to ensure efficiency and smooth workflow.
- Monitor and maintain office equipment, facilities, and supplies, coordinating with vendors, contractors, and service providers including cleaning, building management, and landlords.
- Ensure compliance with office health, safety, and security regulations.
- Develop and implement administrative policies, procedures, and protocols.
- Support the planning and execution of internal meetings, training sessions, and company events.
- Perform data entry and maintain accuracy in records and documentation.
- HR & Employee Support
- Assist in employee onboarding, including workstation setup, welcome briefings, and basic orientation.
- Manage leave tracking and provide administrative support for HR matters and internal policies.
- Support office resource allocation and employee records maintenance.
- Budget & Expense Management
- Monitor and manage the office administration budget.
- Handle expense claims, petty cash tracking, vendor invoicing, and office procurement.
- IT & Document Management
- Collaborate with IT support to maintain office systems, databases, and security protocols.
- Ensure proper filing, storage, and retrieval of documents, contracts, and reports.
Requirements :
- Candidate with at least Degree / Diploma in Business Administration or related field to administration or secretarial
- Minimum 3 to 7 years of related working experience in administration and secretarial support
- Secretarial skills - ability to manage schedules, correspondence and confidential matters
- Organizational Skill - handling office operations and secretarial support
- Discretion and confidentiality - handling sensitive information professionally
- Proficiency in Microsoft Office applications including Excel, Word and PowerPoint.
- Able to work independently with minimal supervision under tight timelines.
