Overview

We are an exhibition build-up and event execution service company based in Singapore. We are looking for a detail-oriented and proactive Event Project Executive to join our team. You will be responsible for supporting the end-to-end execution of events, ensuring smooth coordination with internal teams, vendors, and clients. This role requires strong organizational skills, excellent communication abilities, and hands-on problem-solving to deliver high-quality event experiences.

Key Responsibilities

  • Project Execution & Coordination

  • Support the planning, setup, and on-site execution of exhibitions, conferences, and corporate events.

  • Coordinate with contractors, suppliers, and venue partners to ensure timely and quality delivery.
  • Oversee logistics arrangements including event materials, equipment rental, manpower, and schedules.

  • Client & Stakeholder Management

  • Assist in managing client requirements from pre-event planning to on-site support and post-event follow-up.

  • Provide responsive and professional communication to maintain strong client relationships.
  • Ensure client expectations are met within budget and timeline.

  • Operational Support

  • Prepare project documentation including event timelines, floorplans, vendor orders, and post-event reports.

  • Monitor budgets and expenses to ensure cost efficiency.
  • Troubleshoot issues on-site and provide quick solutions to minimize disruptions.
Requirements
  • Diploma or Degree in Events Management, Business, Marketing, or related field.
  • 3–5 years of working experience in event project execution / event coordination (experience in exhibition build-up or AV/production is a plus).
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both written and spoken. Bilingual in English and Mandarin to liaise with Mandarin-speaking associates.
  • Hands-on, proactive, and able to work under tight deadlines.
  • Willing to work flexible hours, including evenings, weekends, and public holidays, depending on event schedules.
  • Proficiency in Microsoft Office; knowledge of design or project management tools is an advantage.
