Responsibilities

  • Provide secretarial support to 3–4 partners, including document preparation, meeting and travel arrangements
  • Maintain and update client files and records
  • Prepare and issue invoices to clients
  • Translate documents, emails, and other communications as required.
  • Manage office administration, including liaising with landlords, suppliers, and service providers
  • Arrange logistics for guests and staff, including hotels, restaurants, and transport
  • Handle IT-related issues and coordinate with head office IT teams or vendors
  • Assist with accounting matters in collaboration with the accounting department and external firms
  • Organise company seminars, events, and social gatherings
  • Maintain client relationships and ensure smooth office operations

Requirements

  • Minimum 3 years of experience as a secretary and/or administrator
  • Proficiency in Japanese language for liaising with Japanese-speaking clients and stakeholders.
  • Business-level proficiency in English for liaising with English-speaking clients and stakeholders
  • Strong IT skills, including MS Office, Excel, and PowerPoint
  • Positive attitude, team player, well-organised, and willing to learn.
  • Strong interest in Japanese companies and culture
  • Experience in a law firm as a secretary or administrator is an added advantage
