Executive Assistant

Immediate opening for a professional, resourceful, and exceptionally organized Executive Assistant to serve the Director as his right hand and gatekeeper. The role’s key focus is to streamline and optimize the Director’s workload and schedule, doing whatever it takes to make the day-to-day easier and more efficient. This professional will also be charged with handling day-to-day administration and HR duties.
**Responsibilities include, but are not limited to**:
**PA role**:
- 1. Perform secretarial and administrative support to top Management including personal and business matters
- Translator for Director from English to Chinese
- 3. Attend business meetings with Director
- Carry out overall office / operations supervision, including events, internal meetings, planning & liaising
- Supervising the arrangements for all relevant meetings as requested, including room booking, preparation of materials and minute taking, in order to ensure their timeliness and smooth running.
- Handle all private and confidential matters of company and Director
- Attend to and assist Director with any ad hoc assignment requests
- Assists Director with operations management and process improvements from internal admin to outlet operations
**Admin & HR role**:
10. Handle day-to-day administration & HR duties
11. Answer and Direct Incoming Calls
12. Attend to visitors of all levels
13. Handle Customer Enquiries
14. Maintenance of general office & supplies
15. Maintain proper filing system, including data management and file sharing on Filing System
16. Assist on Company Vehicle Season Parking, Servicing, Inspection Road Tax, Insurance Arrangement
18. Provide admin support in company events and coordinate staff training
19. Assist Outlets with Servicing and Maintenance Arrangement
20. Assist with Training Room Enquiries and Arrangement
22. Assist with other HR admin duties such as updating employee database, training records, renewal records, work pass renewals, arranging training courses, and so on.
23. Any other ad-hoc duties
**Requirements**:
- Min. Diploma, Degree in Business preferred
- Proficient in both written & spoken English & Mandarin in order to deal with respective internal and external stakeholders
- At least three years experience in EA/PA role, operations management experience and administrative & HR support roles, strong planning & organization skills
- Good interpersonal, presentation and communication skills, hardworking with high initiative and willing to take on new challenges
- Positive working attitude, team player, reliable & discreet in handling confidential matters
- Proficiency in PowerPoint, Excel & Word

**Salary**: $3,000.00 - $4,000.00 per month
