Job summary
The Accounting and**Position Overview**The Station Manager/Team Lead will be responsible for overseeing the daily operations of a logistics station. This role requires a combination of strong leadership, operational management, and customer service skills to ensure the efficient and effective handling of shipments, management of a team, and achievement of performance targets.
**Key Responsibilities**
**Team Management**
Lead, mentor, and motivate a team of logistics staff, including warehouse workers, drivers, and customer service representatives.
Conduct regular team meetings, performance evaluations, and provide feedback and coaching to improve individual and team performance.
Allocate tasks and resources effectively to ensure smooth operations and meet service level agreements.
**Operational Planning and Execution**
Plan and manage the daily work schedule of the station, including loading and unloading of shipments, sorting, and dispatching.
Ensure compliance with safety and quality standards in all operations.
Coordinate with other departments and external partners, such as suppliers, carriers, and customers, to optimize the supply chain process.
**Inventory Management**
Oversee inventory control and management, ensuring accurate stock levels and proper storage of goods.
Implement inventory management systems and procedures to minimize losses and improve inventory turnover.
**Customer Service**
Ensure excellent customer service by addressing customer inquiries and complaints promptly and effectively.
Work with the customer service team to improve customer satisfaction and loyalty.
Provide regular reports to customers on shipment status and performance metrics.
**Performance Monitoring and Improvement**
Set and monitor key performance indicators (KPIs) for the station, such as on-time delivery, inventory accuracy, and cost control.
Analyze performance data and identify areas for improvement. Implement corrective actions and process improvements to enhance overall station performance.
**Facility and Equipment Management**
Ensure the proper maintenance and upkeep of the logistics station facilities and equipment.
Coordinate with maintenance teams and vendors for repairs and upgrades as needed.
**Documentation and Reporting**
Maintain accurate records and documentation of all shipments, inventory movements, and operational activities.
Prepare and submit regular reports to management on station performance, issues, and progress.
**Qualifications and Skills**
**Education**: Bachelor's degree in logistics, supply chain management, or a related field.

- Personal Assistance:
- Manage Chief of Staff’s calendar, schedule meetings, and coordinate appointments.
- Prepare and edit documents, reports, and presentations as needed.
- Arrange travel itineraries, accommodations, and logistics for business trips.
- Assist with personal errands and tasks as required.
- Administrative Support:
- Organize and maintain office files and records, both electronic and paper-based.
- Coordinate and facilitate internal and external meetings, including preparing agendas and minutes.
- Monitor office supplies and place orders to ensure adequate inventory.
- Assist in the preparation and processing of expense reports and invoices.
- Manage and track key administrative projects and deadlines.
- Office Management:
- Oversee day-to-day office operations to ensure a productive work environment.
- Act as a point of contact for office-related issues and coordinate with facilities management.
- Implement and maintain office policies and procedures to improve efficiency.
- Support onboarding and training of new staff members as needed.
- Assist in organizing company events, meetings, and conferences.
- Communication:
- Serve as a liaison between executives, staff, and external stakeholders.
- Handle sensitive and confidential information with discretion.
- Prepare communication materials, including newsletters, notices, and announcements.
- Reporting and Documentation:
- Compile and maintain reports and records related to administrative activities.
- Track and report on key performance metrics and administrative tasks.
- Human Resources Support
- Assist in recruitment processes, such as posting job ads and scheduling interviews.
- Maintain employee records and update personnel information.
- Support the onboarding of new staff.
- Budget and Finance
- Assist in budget preparation and monitoring of expenses.
- Process invoices and handle basic financial transactions.
- Data Entry and Record Keeping
- Enter and update data in relevant systems accurately.
- Maintain records of various activities and transactions.
- Policy and Procedure Implementation
- Ensure compliance with organizational policies and procedures.
- Communicate and enforce relevant regulations to staff.
