The role of an Manager (Ops & Admin) Residential Services is to deputize the Senior Manager (in his/her absence) and be responsible for the day-to-day operations, financial administration, general office administration, estate/facilities management, and inventories/supplies. Assistant Manager (Ops & Admin) is also required to manage a team of clerical officers, Operations Support staff, general workers and contractors. He/ She assists the Senior Manager to oversee the Children's Wing and Hostel operations.
DESIGNATION : Manager, Residential Services
RESPONSIBILITIES
Financial Administration
- Exercise efficient financial control to ensure all expenditure and collection of payments/funds are duly processed
- Supervise Petty Cash and Debit Card accounting
- Oversee all accounts payable and receivable within centre structure
- Oversee all business invoicing processes
- Manage all cash funds
- Oversee procurement
General Office Administration and Operations Support
- Oversee team to ensure sound and efficient administrative processes, in accordance to licensing requirements and high standard of corporate governance
- Data and files are properly maintained/updated and safely accessible for staff on shared platforms
- Oversee transport support to MV operations and daily residents/ clients medical appointment and travel needs
- Oversees the security, laundry and kitchen operations
- Any other duties assigned by Reporting Officer
Estate/Facilities Management
- Manage proper maintenance and improvement projects, check, renew and prepare maintenance contracts for works and supplies
- Regularly check the premises for damages and ensure cleanliness and a safe conductive environment
- Oversees ECC and fire safety requirements
Inventories/Supplies
- Ensure proper inventory management procedures
- Oversee and ensure adequate office supplies and furniture for the centre
Operations and Staff Management
- Oversees the operations and programme of Children's Wing and Hostel services
- Ensure efficient manpower plans in place
- Disciplinary management of Children's Wing, Hostel, Clerical Officers, operations support staff, and General Workers
- Oversee the overall work performance of Children's Wing, Hostel, Clerical Officers operations support staff General Workers and contractors
- Provide supervision, support and mentorship for Children's Wing, Hostel, Clerical Officers and General Workers
- Assist the Senior Manager in team-building effort
- Prepare and review reports, inspections and audits
- Ensure staffs are complying with guidelines and procedures
- Drive the annual performance review
QUALIFICATIONS
- Diploma/Degree in any relevant discipline
- At least 3 years of relevant leadership experience will be an advantage
- Good organisational and people management skills
- Exposure in community care sector is an added advantage
