Job Description of an Office Administrator Executive

The **Office Administrator Executive** plays a pivotal role in ensuring a professional, welcoming, and efficient environment for all members and visitors. Such hospitality defines the first impression of the corporate branding of the coworking community as the member or visitor arrives at our community. The Office Administrator Exe. should endeavor to serve the members and visitors with enthusiasm and politeness to give them the most welcoming and warm feeling.

**Responsibilities**:
1. Oversee daily office functions including supply management, mail distribution, courier services, and equipment upkeep. Oversee the day-to-day operations of the office.

2. Ensure the smooth and accurate flow of information within the team to facilitate business operations within the Centre and/or other centers (if required).

3. Monitor inventory of office supplies and the purchasing of new material with attention to budget constraints.

4. Monitor costs and expenses to assist in budget preparation.

5. Oversee facilities services, maintenance activities and vendors / contractors (if required).

6. For any issue relating to the facilities follow the checklist in the handbook.

7. To monitor and report any issue in the facilities at the centers.

8. Ensure operations are in line with Company policies and regulations.

9. Keep abreast of all organizational changes and business developments.

10. To assist the Operations Manager (OM) to take care of the facilities and topping up any office supplies, if required.

11. To interact with members / visitors.

12. To assist in the gatherings and events for members, if required.

13. To provide quick solution(s) and answer queries by the members / visitors.

14. To follow up all the sales leads for Non-Workstation (NWS).

15. Support the finance department with invoice processing and budget tracking.

Job Requirements:

- Possess a Diploma or Degree in Business Administration / Business Studies.
- Minimum of 2 years of relevant working experience, preferably in hospitality roles like co-working spaces, front desk reception, customer services & Relations, and/or relevant client-facing functions.
- Good communication, writing and interpersonal skills.
- Proficient in both written and spoken mandarin.
- Proficient in Microsoft Office Applications and basic IT skills.
- Hands-on knowledge of accounting software like XERO, QuickBooks, SAGE etc will be an added advantage.
- A team player with a strong sense of responsibility & self-motivation to get tasks done independently Job. **Package**:

- Basic Starting Salary of S$3200 onwards with attractive incentives scheme
