Our Client is a local start-up of Importer and Distributor of Asian and European wines and spirits. The role of the Secretary is to oversee all administrative, sales and marketing, financial, logistic, and most importantly operational matters in the company. You will play a crucial part in making sure all parts above are running smoothly, daily.
【 What you will be doing 】
Personal Assistant
- Assists CEO with daily administrative duties and completes a broad variety of administrative tasks
- Communicates with the general staff on CEO’s behalf and coordinates meetings and conferences both internally and externally.
- Organising events and conferences which includes booking and arranging travel, transport, and accommodation.
- Drafts reports, letters of agreement, and proposals; prepares and coordinates oral and written communication with prospect/collaborating partners.
- Supports company operations by maintaining office systems and supervising staff.
- Acting as the point of contact among employees, clients, and other external partners, both regionally and locally.
- Keeping up with office supply inventory, screening phone calls, office maintenance, and liaising with the external IT team on office technical issues.
- Prepare and compile internal and external corporate documents regionally.
HR
- Manages human resource staff by recruiting, selecting, orienting, and training employees.
- Retains historical human resource records by designing a filing and retrieval system and keeping past and current records.
- Keeps records of benefits plan participation such as insurance, personnel transactions such as hires, promotions, performance reviews, and terminations for MOM reporting.
- Administers benefits programs such as life, health, and dental insurance, vacation, sick
leave, leave of absence, and employee assistance.
Finance
- Crafting of local, inter-co, and export price build.
- Logistics and Supply Chain
- Plan and oversee warehouses for efficiency in both operations and capacity.
- Negotiate and review supplier, freight, transportation, and other related costs to keep working costs low.
- Read and comprehend legal documents, such as contracts or import/export agreements.
- Monitoring and managing office and 3PL warehouse inventories, and forecasting sales levels
to plan for materials needed.
Sales and Marketing
- Operating as the lead point of contact for any and all matters specific to Duty-Free, S.E.A, online and major local accounts.
- Building and maintaining strong, long-lasting customer relationships.
- Plan and manage digital marketing campaigns.
- ** Requirement**:

- At least 5-7 years of experience in the above job descriptions, as Secretary to GM/MD or Office Admin, preferably from a start-up or SME company
- Experience in Wine, Spirits industry is a plus
- Possess excellent working knowledge and hands-on in using Microsoft Excel, Powerpoint, and Word
- Excellent communication and negotiation skills
- Short notice or available immediately is preferred
- Entrepreneur mind who is creative and ability to think critically and rationally
- Basic E-Commerce knowledge and skills is desirable
- ** Working Hour**: 8:00 ~ 17:00
