**Job Summary**:
**Key Responsibilities**:
**Work Pass Management**:
- Ensure timely renewal, cancellation, and updating of work pass details in compliance with Ministry of Manpower (MOM) regulations.
- Act as the primary contact for all work pass-related inquiries from employees and relevant authorities.
- Keep up to date with changes to work pass regulations and ensure the company remains compliant.
**OFWAS (Online Foreign Workers Address Service)**:
- Administer the OFWAS process for foreign workers, ensuring accurate and timely updates to their residential addresses in the MOM system.
- Assist employees in registering and updating their address information via the OFWAS portal.
- Ensure that all foreign worker address-related requirements are met and in compliance with MOM guidelines.
**MWOC (Migrant Worker Onboarding Centre)**:
- Coordinate the onboarding process for migrant workers through the MWOC, ensuring that all workers complete the mandatory onboarding requirements.
- Provide guidance to migrant workers regarding the necessary documentation and steps for onboarding at the MWOC.
- Ensure that all migrant workers' onboarding documents are processed, and related data is uploaded to the MOM portal.
**Training Certificates Upload**:
- Assist employees in ensuring that required training certificates (such as safety and compliance training) are obtained and correctly uploaded to the MOM portal.
- Ensure compliance with MOM requirements related to training and certifications for foreign workers.
- Track employee training records to ensure that all certifications are up-to-date and uploaded within the required timelines.
**General HR Coordination**:
- Assist with employee onboarding, ensuring all documentation (contracts, medical checks, and identification documents) is verified and processed.
- Managed foreign workers' related matters such as security bonds, OFWAS, PCP, and air ticket bookings.
- Provide administrative support to the HR team in handling employee queries and ensuring smooth day-to-day HR operations.
**Compliance and Reporting**:
- Ensure the company’s HR practices comply with the Employment Act, MOM regulations, and other relevant laws.
- Prepare and submit necessary compliance reports to MOM and other relevant authorities as needed.
- Support in internal audits, ensuring all records related to work passes, OFWAS, MWOC, and training certificates are up-to-date and complete.
**Qualifications**:
- Bachelor’s degree in human resources, Business Administration, or related field.
- Minimum 5 years of HR experience, with a focus on HR operations.
- Strong knowledge of Singapore labour laws and MOM regulations.
- Excellent communication and interpersonal skills.
- Analytical and problem-solving abilities, with a focus on continuous improvement.
- Ability to work in a fast-paced environment, manage multiple tasks, and meet tight deadlines.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
