Workplace Operations Coordinator

Manage day-to-day facilities operations by maintaining a world-class working environment to create a wonderful workplace experience for its employees
- Assist in the management of all contractors on site ensuring they perform to the required standards
- Process and maintain proper filing of supplier invoices and payments
- Implement site specific programs, procedures and systems to ensure regulatory compliance, protect employees, and the environment
- Carry out all minor mechanical & electrical repairs and troubleshooting in relation to workplace (excluding AV) and utilities, planned and executed in such a way to minimize risk or inconvenience to others
- Perform scheduled preventive maintenance (e.g filter replacement), light repairs and installation
- Carry out routine operations, health and safety checks and inspections and takes timely corrective action
- Support workplace operations in escorting and overseeing building management and appointed vendors on all preventive maintenance and reactive maintenance works ensuring works are carried out diligently and safely
- Handling service ticketing system (Zendesk)
- Creating tickets on behalf of internal employees to help monitor request
- Following up and closing of assigned tickets
- Help manage other technical platforms for workplace operations
- Space & desk reservation management (Serraview, Engage)
- Desk and meeting room occupancy sensors (Senzo Live)
- Security management systems for access badge controls (Genetec)
- Other technical platforms that may be introduced in the future
- Ensure there are adequate supplies of spares on site for commonly used parts or those with a long lead time
- Assist in special events within the office e.g furniture moving, set up multi purpose room for trainings/events
- Assist Workplace team preparation of new hire onboarding and employees off boarding
- Provide the highest level of customer service to all employees, vendors and guests
- Support the day to day running of the workplace and its services
- Assist with critical out-of-hours issues & participate as a key team member in responses to emergency situations when necessary
- Any other reasonable duties or project work which may be required from time to time
Job Requirements:
- Able to effectively communicate verbally and in writing (English)
- Knowledge of working with hand tools
- Minimum 3 years building and facilities experience working in a Grade A building
- A team player, who is flexible, professional and can work well in an ambiguous scaling environment
- Self motivated and proactive and hands on
- Ability to multi-task and work in a fast-paced environment
**Job Types**: Full-time, Permanent
**Salary**: $2,600.00 - $2,800.00 per month
