**About the job**
The Red Hat Global Workplace Solutions (GWS) team is looking for a Workplace Coordinator to join us in Singapore. In this role, you will work with a local and regional team of facility operations professionals in support of workplace management and customer service. You’ll serve as the first point of contact for the office and help manage the day-to-day activities, including event planning support, meeting support, office communications, vendor management, office services and program support, and expense tracking. Your additional responsibilities will include phone support, visitor management, logistics support, ticket support, and front space presentability and presence. As a Workplace Coordinator, you’ll need to be highly motivated, able to work on your own, striving for excellence, able to adapt well to change, and solutions and data-driven. You’ll also need to have solid time and task management in a fast-paced corporate environment.
**What you will do**
- Interact with associates, customers, vendors, and other guests, serving as a Red Hat representative and providing the first impression of our company for these individuals
- Perform employee resource management, managing access requests, detailing local directions and amenities, and providing parking support
- Maintain front-of-house presentability and presence and ensure meeting room readiness at all times
- Manage phone support for local site and the shared regional phone queue, visitor check-in, and badge administration
- Maintain outstanding customer service delivery at all times
- Provide regional program team support
- Oversee office services, programs, and other GWS initiatives at the site
- Provide logistics support; manage incoming and outgoing parcels and site shipping logs
- Provide associate badge support; take badge photos and print and distribute new badges
- Support workplace compliance with health, safety, and environment policies
- Coordinate with Red Hat’s Branding team to ensure that site branding is effective, maintained, and adheres to policy
- Monitor the facilities and relevant site equipment for operational efficiency
- Perform daily ticketing management, triage, and updating for both local and global queues
- Be responsible for general site communications, building notifications, and office mailing list administration
- Provide event and meeting support; coordinate activities to support cross-functional office events, meetings, and parties
- Manage site intranet presence; update site information, contact details, access requirements, and emergency details
- Manage seating assignments and equipment and furniture space layouts
- Support local and regional security systems and team to ensure adherence to the global Red Hat security policy
- When part of a local team, support the site team lead; partner to complete tasks and projects related to site operations
- Perform invoice and expense tracking, purchase order creation, receiving, and tracking, and rent, utility, and other operating expense payment and tracking
- Be responsible for vendor selection, quality control, and contract reviews and serve as an on-site point of contact
**What you will bring**
- 5+ years of related experience with a bachelor’s degree or equivalent work experience
- Accomplished in customer service; focus on positive language and clear communication
- Developed interpersonal skills with an ability to quickly establish and grow relationships with site associates and stakeholders
- Good organizational skills; focus on resource coordination and time management
- Solid critical thinking skills and troubleshooting ability, especially in stressful situations
- Motivated with the ability to work under little direct supervision
- Familiarity with Google Workspace and comfortable with business productivity tools
