
Front Office Administrator

The Front Office Administrator is responsible for providing administrative support to Front Office; ensuring a successful day-to-day operation within the office. This function also includes liaisons between external and internal guests. The incumbent responsibilities also include secretarial support to the Front Office and the rendering of secretarial and clerical services to the Director of Rooms and Front Office Manager.
**Primary Responsibilities**:
- Support and uphold the adherence to Corporate level and hotel-initiated touch points and internal brand messaging.
- Ensure the necessary forward planning is carried out to achieve the pre-set annual budget for room revenue.
- Perform general administrative duties within Front Office area.
- Attends to a variety of Front Office administrative details such as maintaining and ordering of office supplies, arranging for the repair of equipment, transmitting information, and keeping reference materials up-to-date.
- Attend and record meeting minutes of meetings organised within Rooms Division.
- Safe keep Private & Confidential records/documents which include, but are not restricted to; Staff Disciplinary Records, Contracts, and Performance Reviews.
- Plan and organise internal and external events / activities / gatherings.
- Recommend and (where appropriate) lead in the design and implementation of ad hoc projects in coordination with the Front Office Manager.
- Keep record and document Front Office financial reports such as Profit and Loss / Monthly Revenue Report.
- Assist DOO / FOM on Budget, CAPEX process administrative work.
- Prepare IT accesses, accounts, business cards, welcome pack and conduct Rooms Division orientation sessions for new-hires.
- Any other ad hoc duties as and when required.
