An Executive Administrative & HR Assistant is an employee who provides high level administrative support to executives in the workplace, such as taking calls, scheduling meetings, managing executive requests, and other office duties. They may also oversee office functions and supervise lower level office employees. This position requires someone who has excellent verbal communication skills, good judgement, and strong time management skills in order to meet deadlines.
**HR Scope**
- Maintaining physical and digital personnel records like employment contracts and PTO requests
- Update internal databases with new hire information
- Create and distribute guidelines and FAQ documents about company policies
- Compute and Gather payroll data like bank accounts and working days.
- Liaised with statutory bodies such as but not limited to ICA, MOM, IRAS, etc. where relevant to HR matters.
- Publish and remove job ads
- Prepare reports and presentations on HR-related metrics like total number of hires, exits by department
- Develop training and onboarding material
- Maintaining company’s PDPA
- Respond to employees’ questions about benefits (for example, number of vacation days they’re eligible for)
- Responsible for Insurance claims, renewals and quotes for the company and employees for public liability, product, health, travel, etc.
**Administrative Scope**
- Answering phones calls and taking messages
- Welcoming all visitors and interacting with them
- Arranging meetings and other events
- Managing mail communications
- Managing traditional paper and/or electronic filing systems
- Executive Administrative Assistants are generally also responsible for duties over and above those typically performed by these other administrative employees, which may include:
- Setting and managing the daily schedules and calendars of company executives. Managing scheduling and appointments
- Preparing and/or editing documents, such as expense reports, memos and invoices
- Creating spreadsheets, managing databases, preparing presentations
- Negotiating with vendors with finance or procurement stakeholders
- Order necessary office and pantry supplies
- Managing corporate stock rooms and/or libraries
- Managing videoconferencing, fax communications and office equipment
- Reviewing incoming documents
- Conducting research
- Training and/or supervising clerical workers, if required.
**Requirements and Qualifications**
- Diploma level with Minimum 3 years’ experience as an Executive Administrative Assistant, Senior Executive Assistant with HR payroll functions
- Full knowledge of office management systems and procedures
- Basic bookkeeping and math skills
- Proficiency in English
- Exemplary planning and time management skills
- Ability to stay calm and on-task in high-stress situations
- Current in today's office technology, and computer software including MS Office
- Ability to multitask and prioritize daily workload
- High level verbal and written communications skills
- Discretion with personal and confidential information
**Job Types**: Full-time, Permanent
**Salary**: $2,600.00 - $3,200.00 per month
