**Birdbox Office - Executive Secretary**

1. **JOB SCOPE**

1.1 Private support
- Providing administrative support to the owners and family when necessary.
- To oversee the maintenance and management of all rental properties across multiple locations.
- Oversee and maintain records related to the properties
- Coordinate travel and accommodations for the owners of the family when they are abroad
- Track, record, and participate in negotiations with vendors and service contracts related to their family home in Singapore, other family owned or rented properties in Singapore and overseas
- Oversee and maintain records of purchases, vendors and service providers
- Where required, oversee the staff at the family when the owners are on vacation.
- Perform other ad-hoc duties.

2.2 Business support
- Provide secretarial and administrative support in the office including maintaining records, ordering supplies, and performing basic bookkeeping
- Arrange and coordinate internal / external appointments and meetings
- Liaise with the lawyers, accountants, and real estate brokers and when requested
- Provide administrative support involving philanthropic strategies as directed by the family.

2. **REQUIREMENTS**
- Diploma or equivalent academic qualifications with preferably minimum 5 years of working experience as executive assistant.
- To observe a code of strictest confidentiality at all times and be ultra-discreet.
- Meticulous, strong sense of responsibility and pro-active
- Demonstrates a high level of autonomy, initiative and independence.
- Excellent organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with strong attention to detail.
- High level of flexibility and resourcefulness.
- Excellent command of the English language, both written and spoken. Having good communication skills is essential.
- Personable and polite, with excellent people skills.
- Typical 9am to 6pm work schedule, with the flexibility to work additional/out of hours as necessary to meet the family’s needs as and when necessary.

3. **COMPENSATION**

Initially as appropriate and competitive salary with medical insurance and annual leave as per the standard regulatory leave requirements by MOM will be provided.
