Senior/Assistant Manager for the Centre for Microbiome Medicine
The Assistant Manager / Senior Assistant Manager will provide support to the Centre for Microbiome Medicine, Lee Kong Chian School of Medicine (LKCMedicine) of Nanyang Technological University (NTU) in the areas of managing the Centre and projects expenses to ensure smooth operations of the projects, contributing to meeting the objectives and key performance indicators (KPIs) of the projects, coordinating communications and collaborations, organizing workshops / activities, managing research contracts and documents, preparing audit and annual reports.
Key Responsibilities- Supports the operation and function of the Centre.- Assist Director and Centre senior management team in strategic planning of the Centre and provides support in manpower budgeting and expenses tracking for projects.- Support the Centre and PIs to ensure project budget are adhered to / to ensure that funding and authorization is in place for projects and to work within agreed budgets.- Process procurement documents, reimbursement claims, invoices etc for projects in accordance with the University’s guidelines.- Track status of financial requests, documents and work closely with NTU Procurement and Finance to follow up on all procurement, financial and business travel matters.- Prepare programme reports for the Centre, including annual reports, mid-term reports, financial reports, or auditing reports.- Coordinate the Centre audit process and prepare the audit-related documents.- Manage and execute events (such as meetings, workshops, seminars, visits, news interviews, or gatherings) organized by or related to the Centre.- Provide event-relevant support, including the collation of presentation / event slides, printing of programme materials, refreshments booking and coordination, venue booking, coordinating lab demonstration sessions etc.- Coordinate the communications and collaborations related to the Centre.Skills and qualifications- Bachelor Degree.- Minimum 3 years of related experience in project management and implementation.- Proficiency in MS Office Word, Excel, and PowerPoint.- Experience working in the academic or healthcare sectors will be advantageous.- Analytical thinker with strong investigative and problem-solving skills.- Good understanding of financial management obligations will be an advantage.- Good written and verbal communication skills.- Meticulous, organized, and diligent.- Highly adaptable, resourceful, and self-motivated.- Able to work independently as well as in a team.- Able to multi-task and work in a dynamic environment.- Cordial personality and values service orientation.- Strong work ethics to maintain confidentiality on sensitive information.
