**THE POSITION**
Reporting to the Vice-Principal, Administration, the Manager Administration plays a key role in assisting the school leaders in procurement, student admission & administration, front counter and general administration of the school. He/she is expected to supervise a team of Executive and Administrative Staff (EAS) to achieve excellence in school administration and operations.
**THE LEADERSHIP**
The successful incumbent will be accountable for the development, performance and outcomes of the Admin team/department and build a positive and collaborative working culture as part of the school’s EAS team. He/she would be expected to address and review school strategies, policies and processes related to procurement and administration, manage administration resources, innovate and address operational opportunities and challenges and communicate any changes/updates. He/she would also be expected to provide advisory and technical guidance to staff and other stakeholders as well as uphold corporate governance.
The key responsibilities for the position are:
Procurement
Oversee the school procurement policies, practices and systems, as well as, managing the administration of overall procurement processes in the school to ensure compliance with the Instruction Manual on Procurement, MOE guidelines and the school’s policies.
Student Administration
Support the holistic development and well-being of students including the management of pupil placement and programmes (such as admissions, health checkup and vaccination exercises) and student services.
Office Operations and Budgeting
Oversee and ensure smooth operations of the General Office of the full school to ensure the delivery of positive customer experience. To ensure admin policies, process and systems are in place to provide effective and efficient services, aligned with industry best practices. To plan and manage the budget related to school admin operations.
Stakeholder and Vendor Relations
Supporting the school leaders in developing and maintaining positive relationships with the schools’ stakeholders such as parents, vendors, and the public, etc.
Innovation and ICT
Assisting to drive implementation and use of IT infrastructure to increase productivity including leveraging ICT to improve efficiency in admin and procurement work processes.
Board Secretariat Duties
Prepare agenda for Board’s meetings, provide logistic support and take minutes for the meetings.
Others
Take on any other duties as may be assigned.
We are looking for a person with integrity and drive, who possesses the following:
- Bachelor degree in business administration, management, or a related field.
- At least 3 years’ experience in government or equivalent procurement, general administration and/or customer service
- Strong interpersonal, organization, communication and analytical skills, as well as the ability to lead and work well in teams
- Strong Microsoft Office skills
- A dynamic and motivated individual with a keen interest in continuous improvement and work excellence
- Managerial experience in an education institution would be an advantage.
- A keen interest in Information and Communications Technology and prior experience in IT or project management would be an advantage
