**Executive Assistant / Personal Assistant to the CEO**
- Reporting to an inspirational and well-respected CEO
- Rapidly growing organisation within the Health Care sector
- Based in Singapore with office / work from home hybrid
- This is an exciting opportunity for an experienced Executive Assistant/ PA to join an international organisation and support a highly entrepreneurial CEO both professionally and personally. The businesses are going through a period of rapid growth and would suit someone who enjoys a fast pace environment.
In this role, you will play a key role efficiently organising the working days of the CEO. It is a balancing act, as you will be dealing with competing priorities for the business and its busy CEO and leadership team.
- Your professional and highly developed organisational skills will be just what is required to keep the pace with a focused, dynamic, fast-paced and progressive leader and their businesses.
**Key responsibilities**
- Working with the CEO in building and maintaining communications and relationships with a range of stakeholders, including the leadership team, head office teams and personal contacts
- Managing a range of administrative and executive management tasks including coordination, document preparation and drafting communications on behalf of the CEO
- Managing the CEO’s day-to-day activity; setting and prioritising their daily schedule
- Proactive meeting and calendar/diary management; scheduling and forward planning meetings, taking into consideration organisational priorities.
- Filtering requests ensuring strategic priorities are met in a timely manner by understanding the business requirements
- Manage local and international travel, including flights, accommodation, transport
- Coordinate and attend board and business meetings; take minute/actions and follow up to ensure priorities and tasks are on track and completed
- Prepare meeting agendas and board reports for distribution
- Manage aspects of the CEO’s personal affairs including entertainment, expenses, insurances, and international travel bookings and organising relevant documentation
- Adhoc administrative duties including file management, organising mass mailouts, gift purchases and distribution, birthday, celebration and anniversary message writing and delivery
**Skills & Experience**
- Have excelled in supporting C-suite executives with a minimum of 5 years of experience working in a fast-moving and growing organisation. Ideally possess recognised private secretary qualification
- Extremely proactive, patient, dependable, with exceptional customer service - You are able to anticipate the needs of the CEO
- Must be discreet, especially in managing personal and confidential information
- Tech savvy and comfortable in the use and integration of social media and technology platforms
- Excellent written and verbal communication skills
- Time management skills - Ability to prioritise how time is best spent, both for self, the leadership team and the CEO
- Well organised and highly proactive
- Availability to work outside of core business hours as necessary
- Exposure with an International organisation, Australian based business would be an advantage
