**Purpose of role**

This role will provide general office administration support to ensure smooth running of all SG site office activities and day-to-day building control functions and remote admin support for Head of Blackmores Institute

This will be a part time role of 3 days a week and can be worked flexibly to meet the essential needs of the business and to support key office events, meetings and overseas visitors

**Office Administration**
- Monitor and maintain provision of office equipment and supplies including employee lists, stationery, and pantry supplies, including the cleanliness and safety of office area
- Liaise with SBF Office Building Management, external contractors, and any necessary office service providers, validating and approving invoices for relevant office and building maintenance services
- Manage Courier and dispatch services and Distribution of incoming mail
- Directing and supporting local on-site and SG visitors from overseas

**Support to Regional Teams**
- Provides remote travel, meeting and administration support to the head of Blackmores Institute (based in Australia
- Main point of contact with Travel Management company for all the travel administration matters while ensuring all travel, office management and business expenses implemented in line with globally approved policies
- Support co-ordination for any regional meetings, webinars, conferences or events
- Expense and systems Management for all relevant office events, travel and site management matters.

**Support for any Ad-hoc events, Conferences, Town Halls and Employee Engagement Activities**
- Sourcing and negotiating for best rates to ensure cost efficiency
- Liaise with hotels & catering company for accommodation & food
- Partner with P&C on employee engagement events and office initiatives to create a positive working environment and administration initiatives
- Support SG local sales team with any Product Advisor meeting/training/briefing events
- Any other ad-hoc regional administration and co-ordination duties as required

- Confidently able to operate across multiple markets and cultures
- Strong interpersonal and communication skills
- Ability to ensure compliance with corporate policies and processes
- Willingness to work flexibly when required to support critical meetings and overseas visitors
- Ability to prioritise and remain calm and confident under pressure
