ROLE OVERVIEW

The primary role will be to provide strong support to the Head of WB APAC enabling the smooth running of the WB Regional Office. The role is expected to assist with activities from both a business and operational perspective.

KEY RESPONSIBILITIES

Business Support- Prepare & consolidate various documents and presentations.- Handle regional management correspondence and channel it to relevant stakeholders.- Co-ordinate and consolidate committee and meeting packs including taking meeting minutes as needed and following up on actions.- Is the ‘go to person’ for the WB Regional Office general management matters.- Manage ad-hoc requests to meet business needs.

Operational Support- Provide administrative support on regional management related matters.- Coordinate activities and schedules, ensure smooth office operations.- Assist with coordinating internal and external events eg. Town-halls, off-sites and other events hosted by the Head of WB APAC- Maintain and update organization charts on regular basis.- Co-ordinate and manage the logistics for senior executives visiting the APAC region.- Monitor and assist in the approval of expenditure for the regional management office i.e. corporate gifts, sponsorships, internal entertainment.- Prepare expenditure claims for the Head of WB APAC and assist with travel bookings and itinerary planning.- Support on sourcing and procurement related matters.- Other administrative/secretarial duties as assigned.

KEY COMPETENCIES- University degree in any discipline- Minimum 10 years’ relevant experience within a financial institution- Good written and spoken English.- Proficient with MS office, particularly MS Word and MS PowerPoint- A proactive team player who is also able to work independently with mínimal guidance.- Self-driven with strong time management skills, and able to multitask and thrive well in a dynamic environment, often within challenging timelines.- Is organized and have strong communications skills to effectively engage stakeholders across seniority levels.- Eye for detail with a proven track record for producing consistent, high quality and reliable outputs.- Project management skills would be a plus.
