We are seeking a highly organized and proactive
Business Administration Manager
to provide executive support to the CEO, APAC, while overseeing office operations and administrative functions. This role requires strong leadership, multitasking abilities, and excellent communication skills to ensure seamless day-to-day operations.
Job Description:
Executive Support
Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Optimize the CEO’s schedule by coordinating meeting logistics and handling rescheduling or cancellations promptly.
Serve as the primary point of contact between the CEO and internal/external stakeholders.
Manage correspondence, including emails and phone calls, ensuring timely responses.
Prepare and edit presentations, reports, and communications as required.
Arrange travel and accommodations for global visitors, including itinerary planning, visa processing, and necessary documentation.
Office & Administration Management
Oversee general office administration, ensuring smooth daily operations.
Manage office facilities, equipment maintenance, and inventory of supplies.
Ensure compliance with company policies and government regulations related to workplace safety.
Lead office-related projects, such as renovations or office relocations.
Coordinate with vendors, service providers, and external partners, including facility management and cleaning contractors.
Act as the company’s Corppass Administrator and Safe Management Officer for the office.
Handle administrative tasks related to purchase orders, invoices, and vendor management.
Support company events such as training sessions, employee engagement activities, and business meetings by assisting with logistics, catering, and travel arrangements.
Assist with board matters, contracts, notary, and apostille processes.
Job Requirement:
Diploma/Degree in Business Administration or a related field.
5+ years of relevant experience in executive support, office management, or administrative roles.
Fluency in French (written and spoken) is essential, as this role involves regular interaction with senior management in France and visiting executives.
Strong time management and organizational skills with the ability to handle multiple priorities.
Excellent verbal and written communication skills in both French and English.
High attention to detail, problem-solving abilities, and a proactive mindset.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Ability to work independently and collaboratively with all levels of management and external stakeholders.
Flexibility to adapt to changing priorities in a fast-paced environment.
