We are seeking a talented professional to join our team as a Facilities Management Associate . This role is responsible for ensuring seamless workplace experiences, maintaining high standards of safety, and efficiently managing space and vendors across APAC offices.

Main Responsibilities:

  • ">
  • Oversight of daily operations, including furniture installations, relocations, HVAC systems, and vendor coordination. ">
  • Partnering with building management to address maintenance, repairs, and tenant improvements. ">
  • Maintenance of compliance with Health & Safety regulations and emergency preparedness plans. ">
  • Establishment and updating of procedures for building and FF&E upkeep. ">
  • Development of cross-location knowledge to support seamless backup coverage. ">

Security Management:

  • ">
  • Management of physical security systems and protocols to safeguard employees, visitors, and sensitive information. ">
  • Collaboration with internal stakeholders and building security teams. ">
  • Maintenance of proficiency in security software and monitoring systems. ">
">

Vendor Oversight:

  • ">
  • Administration and review of contracts for facilities-related services. ">
  • Enforcement of internal vendor policies to ensure consistency, quality, and cost efficiency. ">
  • Management of furniture inventory and periodic audits. ">
  • Preparation of purchase orders, definition of scopes of work, solicitation of bids, and coordination of vendor activities. ">

Space Planning:

  • ">
  • Leadership of departmental moves and office reconfigurations in line with company and regulatory standards. ">
  • Support of lease tracking and renewals; engagement with real estate advisors and design partners. ">
  • Preparation of budgets and executive-level presentations for new offices or lease extensions. ">

Environmental Reporting:

  • ">
  • Collection and submission of monthly environmental data for APAC offices to global headquarters. ">
">

Qualifications:

">
  • ">
  • A minimum of 5 years' experience in facilities management, project coordination, or related roles. ">
  • Strong knowledge of building operations, security systems, and office space planning. ">
  • Proven skills in project management and vendor negotiation. ">
  • Excellent communication and interpersonal abilities across all levels of an organization. ">
  • Proficiency in Microsoft Office; AutoCAD experience preferred. ">
  • A self-starter with the ability to prioritize tasks and meet deadlines. ">
  • A willingness to travel occasionally across APAC locations. ">
  • A Bachelor's degree (or equivalent) in business administration, project management, or related field. ">
