Space Management Specialist

As a key member of our team, you will play a crucial role in managing the day-to-day operations of our infrastructure and facilities.
Responsibilities- Conduct thorough space audits and needs analyses across departments to identify opportunities for improvement.
- Work closely with stakeholders to plan and allocate office, teaching, and shared spaces to optimise utilisation and support business growth.
- Assign workspace for new hires in coordination with HR and departmental needs, maintaining accurate records on staff headcount and office seating.
- Maintain accurate records and layout drawings of space assignments.
- Assist in the planning, budgeting, and tendering process of renovation and fit-out projects.
- Review and verify vendor progress claims, variation orders, and invoices to ensure accuracy and alignment with contractual terms.
- Coordinate relocation exercises for departments and operational units, including developing move schedules, floor layout planning, and oversight of packing and unpacking activities.
- Liaise with vendors, IT, and internal stakeholders to ensure all furniture, equipment, and services are properly transferred and set up at the new location.
- Ensure minimal disruption to daily operations and provide on-site support during physical moves.
- Maintain documentation of moves and update occupancy records accordingly.
- Liaise with academic and administrative departments to understand their space and facilities needs.
- Provide responsive support for ad-hoc facilities requests and ensure follow-through to resolution.
- Assist in reviewing lease agreements and related documents to ensure key terms, timelines, and obligations are accurately captured.
- Process purchase requests, quotations, and procurement documentation in accordance with institutional policies and procedures.
- Provide general administrative support for infrastructure and facilities-related operations.
