Executive Assistant To Director (Full-Time)Location: 13 Dempsey Road, #01-01/02/06, Singapore Working Schedule: Full-time, 5-day work week. Must be flexible for occasional events or urgent matters. Hybrid flexibility possible after probation Salary Range: $4,500 – $6,000 (Depending on experience)*Immediate or short-notice preferred About Us Maison Garden and The Florté are expanding rapidly, combining floral artistry, retail, F&B, events, workshops and creative experiences under one destination. We are seeking a highly organised, proactive and polished Executive Assistant (EA) to support our Founder & Director and ensure smooth operations across all departments. This is a strategic support role for someone who has: ownership responsibility able to work fast-paced multi-concept environment What You'll Do Executive Support Manage the Director's calendar, appointments, schedules and daily priorities Draft, refine and send communications on behalf of the Director Filter information, highlight priorities and pre-empt needs Maintain confidentiality and professionalism at all times Cross-Department Coordination Track deliverables from Floral, Events, F&B, Retail and Marketing teams Follow up with leads to ensure tasks and deadlines are met Compile weekly operational updates for the Director Ensure all teams adhere to SOPs, forms and workflow standards Administration & Documentation Organise and maintain Google Drive (TFPL & FDPL)Update staff lists, job scopes, HR files and vendor databases Structure and format SOPs, proposals, checklists and reports Support with basic operational paperwork and document control Meetings & Reporting Prepare meeting agendas and summaries Track action items across all departments Remind and follow up on overdue tasks Project & Event Support Assist with timelines, vendor coordination, and media/KOL lists Prepare checklists and communication for events/workshops Support onsite when required during major events Light Personal Admin (When Needed)Booking reservations, appointments and schedules Travel planning and basic personal tasks Who You Are Minimum 3 years experience in EA/PA, admin, operations or coordination roles Strong English writing and communication skills Highly organised, detail-oriented and proactive Able to manage multiple departments and fast-changing environments Responsible, mature and able to maintain strict confidentiality Strong initiative such as anticipates needs and solves problems Comfortable working closely with Director Experience in F&B, events, retail or creative industries is a bonus Perks & Benefits Daily staff lunch provided Leave and Medical Benefits and Performance Based Bonus Training and development opportunities.
