COSL DRILLING PAN-PACIFIC LTD. is a leading provider of drilling services, and we are currently seeking an experienced Administrative Executive to support our Singapore office. The ideal candidate will have a strong background in administration and be able to work effectively in a fast-paced environment.
The successful candidate will have strong written and verbal communication skills in both English and Mandarin and be proficient in Microsoft Office (Word, Excel, and PowerPoint). They will also have a proven track record of providing administrative support in a similar role.
Key Responsibilities:
- Compile and maintain accurate and timely staff development reports for submission to Head Office.
- Prepare and coordinate notification materials and required submissions to Head Office.
- Oversee property management, including liaison with building management on office facilities and maintenance matters.
- Manage office renovation projects and ensure proper upkeep of office premises.
- Oversee expatriate management, including travel arrangements, tenancy agreements, accommodations, settling-in arrangements, and handling travel arrangements for the Singapore office.
- Maintain and manage daily staff meal records.
- Organize corporate team-building events and employee engagement activities.
- Serve as primary point of contact for new hires during onboarding process, including coordinating transport arrangements, setting up workstations, and registering biometric data for meal records.
- Manage purchasing of pantry and stationery items to ensure adequate supplies for employees.
- Manage admin department invoices and process them into Company AP system.
- Provide administrative support for internal events, meetings, and company functions.
- Assist in other ad-hoc administrative tasks as assigned.
Requirements:
- GCE 'A' Level or Diploma in Business Administration or a related field.
- Minimum of 8 years of relevant administrative experience.
- Strong written and verbal communication skills in both English and Mandarin to liaise effectively with stakeholders in China.
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
- Highly detail-oriented with excellent organizational and time-management skills.
- A proactive and resourceful team player with strong interpersonal skills.
