Job Title: Administrative Assistant for Office Operations

We are seeking an organized and proactive individual to fill the role of Administrative Assistant for Office Operations at LANCASHIRE MARKETING PTE LTD. This position plays a vital role in ensuring the smooth functioning of our office by providing administrative support to various departments.

The successful candidate will possess excellent organizational skills, enjoy multitasking, and have previous experience in an administrative or office support role. They will be proficient in MS Office (Word, Excel, PowerPoint) and basic familiarity with office management software.

In this role, you will be responsible for:

  • General Administrative Support: Assist with day-to-day administrative tasks such as answering phone calls, responding to emails, and handling correspondence.
  • Document Management: Organize and maintain filing systems, both digital and physical, ensuring all documents are properly stored and easily accessible.
  • Data Entry: Enter and update information in databases and spreadsheets, ensuring data accuracy and timely input.
  • Inventory Control: Monitor and maintain inventory levels, checking stocks regularly.
  • Assist with Reports: Support the preparation of reports, presentations, and other documents as needed by management and other departments.
  • Handle Invoices and Payments: Assist with basic finance-related tasks, such as processing invoices, expense reports, and payments in coordination with the finance department.
  • Support Events and Meetings: Assist in organizing company events, meetings, and conferences, including booking venues, preparing materials, and managing attendance.
  • Customer and Client Support: Provide basic support to customers or clients by addressing inquiries or redirecting them to the appropriate departments.
  • Maintain Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

The ideal candidate will possess strong organizational and multitasking abilities, excellent written and verbal communication skills, attention to detail, and accuracy in completing tasks. A professional demeanor and positive attitude are essential for success in this role.
