Job Overview

XIABUXIABU Catering Management (Singapore) Pte. Ltd. is seeking an experienced Administrative Support Coordinator to join our team in Singapore. This role will be responsible for handling administrative duties related to Finance and HR operations, including data collection, entry, analysis, reporting, and filing of documents.

About the Role

This position requires a strong analytical mind, excellent communication skills, and the ability to work with cross-cultural teams locally and internationally. The successful candidate will have 3-5 years of experience in a similar role, preferably in the F&B industry, and hold a diploma in Accounting, Human Resource, Business Administration, or equivalent.

The estimated salary for this position is SGD $45,000 - $55,000 per annum, depending on qualifications and experience.

Key Responsibilities

  • Assist in day-to-day office administrative duties related to F&B operational activities.
  • Confirm sales transactions in the POS/BOH system and reconcile any discrepancies with the China HQ Finance team.
  • Submit monthly GTO reports and verify with merchant service team to address any discrepancy, overcharge, and undercharge issues.
  • Monitor and follow-up on inbound and outbound payments.
  • Process billings and categorize costs accordingly with clarification as required by China HQ Finance team.
  • Assist in annual audits and internal control reviews.
  • Handle all administrative duties relating to HR matters and claims.
  • Manage work passes related issues such as application, renewal, cancellation, etc.
  • Assist in submission of government surveys and other statutory submissions.
  • Evaluate insurance claims and submit promptly in portal and timely renew insurances policies.
  • Maintain up-to-date and filing records and profiles in the HR system and MOM portal.
  • Maintain and verify timesheets, attendance, and leaves balance for all staff.
  • Prepare letters and internal announcements as and when required.


Required Skills and Qualifications

  • Diploma in Accounting, Human Resource, Business Administration, or equivalent.
  • 3-5 years of work experience in a similar role, preferably in F&B industry.
  • Strong analytical and problem-solving skills.
  • Knowledge of relevant regulations and compliance standards.
  • Strong written and oral communication skills.
  • Resilience in meeting tight deadlines and concurrently handling different tasks.
  • Able to work with cross-cultural teams locally and internationally.
