We are seeking an exceptional Executive Assistant to support our senior leadership team.
The ideal candidate will possess excellent communication and organizational skills, with the ability to multitask and prioritize tasks efficiently.
- Manage diaries, business schedules, and calendars, including arranging meetings, conference calls, and booking appointments.
- Organize incoming information and stay abreast of all priorities and events.
- Schedule and coordinate meetings internally and externally, including logistics, hotel requirements, preparation of meeting materials, etc.
- Arrange and coordinate conference calls.
- Travel: Organize domestic and international travel arrangements, including booking flights and accommodation as well as preparing itineraries if necessary.
- Prepare overseas travel itineraries – flights, hotel, transfers, visas.
- Process expense claims.
- Handle confidential documents.
- Handle internal and external queries and coordinate responses/information from across the team.
- Maintain a database of all contacts and cards.
- Create and maintain filing systems for personal and confidential files.
- Receive visitors, arrange conference calls, and schedule meetings.
- Assist clients with hotel and car booking as needed.
The right candidate should be a graduate with a minimum 3-5 years of relevant experience. They must be able to hit the ground running, with the ability to get things done speedily by using appropriate strategies given a particular challenge.
Speed and accuracy in execution of all tasks are essential. The ideal candidate should be a positive-minded, proactive, highly motivated, team player with excellent communication and organizational skills.
Expertise in Excel, PowerPoint, Word, Outlook is required.
