Administrative Support Specialist

Our organization is seeking a highly organized and proactive Administrative Support Specialist to provide comprehensive administrative, operational, and strategic support.

Key Responsibilities:
  • Provide clear and timely communication with committee members.
  • Organize and coordinate committee meetings, including venue arrangements and logistics.
  • Prepare and distribute high-quality meeting materials such as agendas, minutes, presentations, and reports.
  • Implement systems for tracking meeting action items and ensure timely follow-up.
  • Maintain systematic documentation of committee proceedings and decisions.
Stakeholder Communications:
  • Manage professional communications with committee members and external stakeholders.
  • Facilitate effective information flow between internal teams and external parties.
  • Build and maintain strong working relationships with key stakeholders.
Policy and Planning:
  • Support strategic planning initiatives and contribute to policy development.
  • Participate in process evaluation and improvement efforts.
  • Manage special projects assigned by senior leadership.

  • Exceptional interpersonal skills with the ability to engage effectively across diverse stakeholder groups.
  • Strong initiative and ability to work both independently and in a team environment.
  • Meticulous attention to detail and excellent organizational skills.

Skills & Knowledge:
  • Proficiency in developing comprehensive reports and presentations.
  • Strong project management capabilities.
  • Ability to analyze complex information and present it clearly.
  • Experience supporting committees or boards advantageous.
Requirements:
  • Relevant planning experience in a comparable administrative or policy support role.
  • Proven track record in stakeholder management and juggling multiple responsibilities.
  • Strong analytical thinking and excellent written communication skills.
  • Experience in public sector operations preferred.
  • Familiarity with Singapore's social service and fundraising landscape advantageous.
