About the Role

Kennedys is seeking a highly organized and detail-oriented Events & Marketing Administrator to join our Business Development and Marketing team in Singapore. As part of the APAC regional team, you will work closely with colleagues in Hong Kong and Australia to contribute to initiatives in the APAC region and globally.

Key Responsibilities

  • Project manage and coordinate all firm, practice, and client events hosted by the Singapore office, including researching and developing event concepts, venues, catering options, and tracking expenditure against budget.
  • Prepare and distribute event communications, manage distribution lists, monitor event RSVPs, and prepare attendance lists and run sheets.
  • Liaise with venues and suppliers to ensure bookings, catering, AV requirements, signage, etc. are delivered to the highest quality for all events.
  • Produce required collateral, such as name badges, signage, menus, presentation materials, etc.
  • Manage event processes, calendars, and protocols.
  • Plan and coordinate marketing activities for the Singapore office, including events, newsletters, social media, working in collaboration with the APAC team.
  • Support agreed sponsorships and partnerships to ensure maximum benefit for the firm.
  • Support firmwide and regional marketing campaigns.
  • Manage the Firm's branded merchandise, including liaising with external suppliers, internal distribution, and stock control.
  • Help maintain a library of partner and lawyer CVs, Singapore proposals, and capability statements.
  • Assist in preparing and formatting content in the firm's templates for both internal and external purposes.
  • Arrange professional photo shoots for new starts in Singapore.
  • Perform general administrative duties and ad-hoc tasks to support business development and marketing initiatives.

Requirements

  • Qualifications in event management, marketing, communications, or a related field are viewed favorably.
  • Organized and able to prioritize workloads, manage multiple projects, and work with a degree of autonomy.
  • Keen attention to detail and flexibility to adapt to changing priorities.
  • Ability to handle multiple tasks and priorities to meet deadlines and work with a degree of autonomy.
  • Comfortable working with colleagues across time zones to ensure regional/global alignment.
  • Ability to develop, manage, and maintain positive relationships with stakeholders.
  • Well-developed communication skills (both written and verbal).
